RE: [ACEsthetics] A tiny vent

Steve, we had been reconciling it every two weeks via the bank matching up with us…great bank. I’m out of the business end because I only have 6 weeks supposedly and I’m an associate. I had turned everything over to them other than some basic ordering conflicts.

When we went to G4 with Dentrix they offered us the newest and greatest credit card processing on the market. They were going to sell us two swipes and give us one free one for the front computer monitors. The deal was G4 was going to read this card and apply the money directly to the account that the patient was paying as long as the card represented that person. In a few instances it would have to be manually entered. ALSO, it was supposed to batch them every two weeks per as we had been doing and send it to the bank. That was what we were told IF we signed a contract, which we have yet to see. They told us they would do it free for three months to show us how great it was. This is coming from my office manager who is sharp as a tack. She’s run the office for the biggest crook ever to hit Coffee County in dentistry.

We didn’t believe it would apply to the accounts as they promised but it did…loo and behold. She assumed it was batching as they had promised and the previous company had done. She actually caught it after two months. I trust no one. She is a religious woman who cannot imagine someone cheating like the woman she worked for before. When we called the company they were at a loss for a while as to what was going on…now this is a Dentrix recommended company. Then they called and said we had to manually batch all the credit card transactions, which we never had to do before…automatic…and have no plans to do again and are not doing with them now. I think this is BS to cover a screw up because they now batch automatically.

My partner was pissed because we had to go to the line of credit because we had 30 grand in ether land, causing us to have to go to the line of credit (we’ve since paid that back down…never pay it off because it is easier to use the old one rather than start a new one). That’s when we called Todd. We were tired of the bulls—t with them and Dentrix. I actually don’t know what Tammy and Todd have done but I think we had started using Todd. They noticed our usage plummet and they called and Tammy told them. That’s when we got the news about the contract and the 2k dollar fine.

We went back over everything Griff signed and nowhere does it say contract. It says application. It has a 404 number to call and a website that you go to and agree to terms of the agreement. Griff never did that because we did not know if the application would be accepted. So this is simply a racket. I’ve never had anything that did not require me to sign an agreement to the terms of the contract…even a cell phone. They screwed up and we screwed up. Steve, we do reconcile twice a month but this was a new deal with G4 Dentrix and swipers and she assumed all was fine because all of this stuff was supposed to be applied to proper accounts, which it was, and batched, which it wasn’t. There is the story. I’m waiting on the Senator to give me names and arrange contacts with the attorney general’s office and the state banking commission. Troll

Geez, you don't reconcile your account on a monthly basis? How did it take 3 months to realize that inflows were off because you hadn't processed any credit card bills? I know you do things slow in the swamp, but I never thought slow meant dumb.

This is a tiny vent because I’m not nearly through with these SOBs. We were loading G4 on Dentrix and in the process they began talking to our office manager about putting card swipes on the side of the monitors…good with me because I’m out of it now and it is Griff’s deal. They went with a credit card processing company that Dentrix recommended who gave us one 200 dollar swipe. We bought the other two ourselves.

Griff’s leaving for Texas today so he told me yesterday he didn’t want this to be a surprise if Tammy told me or had a problem. First of the year we noticed our cash flow down to the point we had to go to the line of credit to pay bills. We never use it for anything but equipment. Tammy started investigating and found that none of our credit card payments had hit the bank for the past three months. She got a warning when a patient called and asked why her credit card had not cleared. Well, we had 30 grand floating out there in space. Tammy and Griff called these people and they told us the money was there and safe but we had not “batched” it properly so it never hit the bank. Well, hell, we batched it like we always had and they never offered any tutoring of change of procedure.

We made a move to Josh more because of the lost cash than the fees even though Josh was certainly cheaper. I told Tammy and Griff I thought that was a sign of problems to come when they let that money float without telling us. I wonder if they can invest those funds but only Josh can tell me that. I have not been involved because I’m backing out. We got a call yesterday asking why our credit card payments had evaporated. I’d have told them we quit accepting cards but Tammy told them the truth. They informed Tammy we had signed a three year contract and if we backed out it was a 2000 dollar fine. Now this is a company recommended by Dentrix. Griff had everything he had signed and it was definitely labeled “application” and at the bottom of the page there was in fine print a website that gave the terms and agreement. But nothing to sign as far as a “contract” was found anywhere. We only had the application but they told us initially that they would process our claims while the application was in process. All we have is a name trail, which Tammy keeps on everybody we do business with.

Griff told them yesterday that they may force a 2000 dollar fine out of him but he was absolutely going to the Better Business Bureau and The Attorney General’s office. Well, I haven’t had anything to chew on for a while so I’m going to kick their ass no matter whether we win or lose. I’m going on every forum I can find, straight to Henry Schein and Dentrix and I’ve got a call in to the State Senator from here to find out who I should talk to at the Attorney General’s office and get me in. If that doesn’t work, we can go to the Governor and state banking regulators. I will find a “kick ass” attorney and spend five times two grand just to whack them. They refuse to talk to Tammy until the person she set this up with comes back from “vacation” next Wednesday. That’s bullshit because if they are not fly by night, they have plenty of people to handle this. If they have to come to Coffee County to sue us, I’m going to tell them to stick it where the sun doesn’t shine. Our judges do not like people in our district screwed no matter what a contract says. I think they broke the contract when they did not tell us the money was not batched and floating in ether land out there. They naturally blamed that on us but no one heard or read anything different about batching differently than we had before. Beware of any credit card company Dentrix recommends.
